Rapid Screening Pty Ltd (ACN: 612 155 987) is committed to respecting the privacy of your personal and sensitive information. We are bound by the Australian Privacy Principles contained in the Privacy Act 1988 (Cth) and other applicable laws, including the Australian Crime Commission Act 2002 (Cth) and the Privacy Act 2020 (NZ). We reserve the right to change, modify or update this privacy policy at any time.

It is essential that you feel secure with us. It is also important to understand how we protect your privacy and how, when and where we may use your details. This document explains how we manage your personal information, the steps we take to protect it, how the National Police Checking Service (NPCS) may collect, hold, use and disclose your information, and how to resolve any disputes or complaints.

What information we collect

The personal information we collect and hold about you is the information you provide to us to conduct our checks, obtained directly from you in person, remotely or electronically. This may include sensitive information to assist us in processing your application:

  • Name and surname
  • Contact details
  • Gender
  • Information about the type and purpose of your Nationally Coordinated Criminal History Check (NCCHC)
  • Date of birth
  • Residential addresses for the last 5 years
  • Driver's licence details
  • Passport details
  • Any criminal history
  • Employment history
  • Previous NCCHC information submitted before
  • Biometric information used for automated biometric verification or identification, including face, fingerprints, iris, palm, signature or voice
  • Any other information you authorise us to obtain, including credit information

All information is collected in accordance with applicable law and in a manner that is not intrusive. Where we receive unsolicited information, we take steps to destroy it promptly, in accordance with our legal requirements.

The information we collect may also be used to help us continually improve our services, including audits, quality control and system updates to ensure we remain compliant and that results are reviewed and managed effectively. Findings from these activities are recorded and actioned accordingly.

What we use your information for

  • Establish and verify your identity
  • Act as your agent as an access seeker to obtain credit reporting information about you
  • Provide you with your credit score and other credit reporting information
  • Comply with our legal and regulatory obligations and assist government and law enforcement agencies or regulators
  • Conduct internal system development, testing and analysis
  • Provide customer support

Who we exchange your information with

Generally, we disclose personal information to organisations that help us provide our services to you. These may include:

  • Credit reporting bodies, such as illion. For more information about how illion uses and handles your personal information, see illion's privacy policy.
  • Identity verification providers - where required, we may use Authoritative Sources, including approved gateway service providers for the Document Verification Service (DVS), to verify applicants' identity documents. Any such provider is committed to handling personal information in accordance with applicable privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
  • The Australian Criminal Intelligence Commission (ACIC) and relevant Australian police agencies, for the purposes of undertaking a Nationally Coordinated Criminal History Check (NCCHC). We are an accredited body with an agreement for controlled access to NCCHCs, governed by the rules and regulations of the National Police Checking Service.
  • Our suppliers, agents, associates and external service providers
  • Regulatory bodies, government agencies and law enforcement bodies in any jurisdiction
  • External organisations where we are required or authorised by law, or with your express consent

Any credit-related information we obtain about you from illion will not be passed on to any banks, credit unions, credit providers or mortgage brokers unless expressly consented to by you.

Accessing or correcting your information

You have the right to access and update your personal information held by Rapid Screening under Australian Privacy Principles 12 and 13. You can do this by logging on to our website at rapidscreening.com.au using the email and password you created at registration.

Alternatively, contact us by phone (see below). Before granting access or making corrections, we must verify your identity, and may ask you to specify what information and documents you need access to.

How we protect your information

To help protect against the misuse, interference, loss, unauthorised access, modification or disclosure of your personal information, we have implemented a range of safeguards in accordance with our agreement as an accredited body of the National Police Checking Service:

Encrypted transfer

Sessions run on SSL-encrypted connections when you submit information through our online forms.

Australian data storage

All information stored electronically and in hard copy is held securely in data centres based in Australia.

Physical security

Physical security measures prevent unauthorised access to our premises, with access to sensitive areas controlled by trained personnel.

Ongoing testing

We update and test our security systems on an ongoing basis, and train employees on confidentiality and information security.

Limited access

Access to your personal information is limited to employees who need it to provide services to you.

Retention period

Records relating to your NCCHC application are retained for a minimum of 12 months and no longer than 15 months.

Retaining your information is strictly for the purposes of meeting our legal and regulatory obligations and effectively managing our business.

Overseas disclosure

We do not disclose personal information to overseas recipients, and do not disclose your personal information to entities located outside of Australia.

Cookies & website data

When you visit our website, our web server uses cookies to collect information that helps us understand how people use our site, to provide a better user experience. This may include how long you spend on the site, how you arrived, and what content you view. This information does not identify individual users, and your IP address or other personal information is not stored on our server.

Direct marketing

Personal information provided by you may be used for marketing communications. If you do not wish to receive these communications, please contact us to opt out.

How to make a complaint

If you believe Rapid Screening has breached or mishandled your personal information in contravention of the Australian Privacy Principles or applicable legislation, contact us by email at [email protected].

We aim to respond to complaints before the end of the next business day, and resolve them as soon as practicable, generally within 10 working days. If a matter will take longer, we'll inform you and provide an estimate of when an outcome can be expected.

After completing our enquiries, we will contact you to advise the outcome and invite your response to our conclusions. If we receive a response, we will assess it and make a final determination with all available information.

Dispute process

In the event of a dispute regarding the result of a check, you will need to contact Rapid Screening to complete a dispute resolution form. This form is reviewed by the relevant police agency or credit body. You will be asked to outline the reasons for your dispute and provide supporting documentation.

The relevant police agency and/or credit body is responsible for the release of information on your NCCHC and/or credit check result, and will investigate the dispute and determine an appropriate outcome. They may request further information to support their investigation.

Once the dispute has concluded, Rapid Screening will be advised of the outcome, either a successful or unsuccessful result, and this will be provided to you.
